PLATFORM PRIVACY POLICY
ProUnitas Inc. takes privacy and data protection seriously. This Privacy Policy explains how we collect, use, store, and share information when providing the PurpleSENSE platform to school districts.
WHO WE ARE
ProUnitas Inc. is a Texas nonprofit organization that provides PurpleSENSE, a secure platform used by authorized school personnel to coordinate and manage student support services. PurpleSENSE is not intended for direct use by students.
DEFINITIONS
“ProUnitas,” “we,” “us,” or “our” means ProUnitas Inc. “PurpleSENSE” means ProUnitas’s secure student support platform. “User” means a school counselor, social worker, or other school staff authorized by a school district to access PurpleSENSE. “Education Records” has the meaning set forth under the Family Educational Rights and Privacy Act (FERPA).
EDUCATION RECORDS
What We Collect
We may collect and process Education Records solely on behalf of school districts. Education Records are records that are directly related to a student and maintained by an educational agency or a party acting on its behalf. Education Records processed through PurpleSENSE may include, but are not limited to:
Student identifiers
School name
Student name
Parent or legal guardian name
Grade level
Course information
How Education Records Are Collected
Education Records are provided to ProUnitas by school districts through secure, encrypted data transfers or authorized system integrations with the district’s Student Information System.
How Education Records Are Used
ProUnitas uses Education Records only to operate, maintain, and support the PurpleSENSE platform and to enable authorized school officials to coordinate student support services.
ProUnitas acts as a designated school official with a legitimate educational interest under FERPA. ProUnitas does not use Education Records for advertising, marketing, or commercial purposes.
How Education Records Are Shared
Education Records are shared only with:
Authorized school officials with a legitimate educational interest; and
Approved third-party service providers who support platform operations and are contractually required to protect student data and comply with applicable privacy laws.
ProUnitas does not sell Education Records.
STUDENT ASSISTANCE FORMS
School districts may authorize the use of Student Assistance Forms as an intake mechanism to request student support.
Student Assistance Forms may be submitted by parents or legal guardians, school staff, or, where permitted by the school district, by students. Submissions are made at the direction of the school or district and are used solely to route requests to appropriate school officials.
PurpleSENSE does not provide direct student access. Information submitted through a Student Assistance Form becomes part of the student’s education record once received by the school or district and is handled in accordance with FERPA.
ProUnitas acts solely as a service provider and data processor in connection with Student Assistance Forms.
DATA STORAGE AND RETENTION
Education Records and related information are stored in secure cloud-based infrastructure hosted by Amazon Web Services.
Data is retained for the duration of ProUnitas’s contractual relationship with the applicable school district unless otherwise required by law or directed by the district. Upon termination, data is returned to the district or securely deleted in accordance with contractual obligations.
USER INFORMATION
What We Collect
We collect limited personal information from Users, including name, job title, and email address.
How It Is Used
User information is used solely to provision access to PurpleSENSE and to support platform operations.
FERPA RIGHTS
Parents and students who are 18 years of age or older have rights under FERPA to inspect and request amendment of Education Records.
Requests to inspect, review, or amend Education Records must be directed to the applicable school or district. ProUnitas does not independently control or amend Education Records.
CHANGES TO THIS POLICY
This Privacy Policy may be updated from time to time. The most current version will be posted on our website.
